ESI: Updating Contacts (Address & Phone)

Below are steps used to change contact information for a student.

Updating Detail

  1. Search for student requiring the change by entering the SSD# and clicking on the magnifying glass on the home page

  2. Select the Contacts tab, click the Select button for the desired contact

  3. To change contact detail make sure that the Detail tab is selected

  4. Change the necessary information such as contact name, email address and any check box(es) requiring the change

  5. Save


Updating Relationship, Address, Phone or Contact Properties

Relationship

  1. From the Contacts tab, click the Select button for the desired contact

  2. Click the Relationship tab

  3. To add another relationship for the contact, select the Relationship from the drop-down

  4. Save

Key Point:  Information already listed can be deleted using the Delete button.

Address

  1. From the Contacts tab, click the Select button for the desired contact

  2. Click the Address tab

  3. Click the Select button to the left of the desired address

  4. The address information will display

  5. Use the calendar to enter today's date in the End Date field

  6. Save

  7. Enter the address information such as Type, Address, City, State and/or Zip  

  8. Use the calendar to enter today's date in the Start Date field

  9. If the address is Primary, check the Primary box

  10. Save

Active addresses will display by default, to view inactive addresses, click the Active button to switch to Inactive information. To add a new contact, go to Add Parent section of Add New Students to ESI.

 

Phone

  1. From the Contact tab, click the Select button for the desired contact

  2. Click the Phone tab

  3. The phone information will display

  4. Use the calendar to enter today's date in the End Date field

  5. Save

  6. Enter the changes to Type, Phone, Extension, and Start Date 

  7. Check Primary if this is the main contact number

  8. Use the calendar to enter today's date in the Start Date field

  9. Save

Click the Sync button to the right of the student row to synchronize the address and phone number for the contact and the student.

Properties 

  1. Select a Type- Incarcerated, Deceased, etc.

  2. Enter a Start Date

  3. Save


Adding a Language

To update language information, Search for student. From the Contact tab, click the Select button for the desired contact

  1. Select Codes

  2. Under Type choose Oral or Written language

  3. Under Code choose the appropriate language

  4. Add a value if needed (this field is not required)

  5. Add the start date

  6. Save

Once information has been saved the number in parentheses in the Codes tab will update and will increase by one. The new entry will be visible in the Codes tab.


Inactivating a Contact

  1. From the Contact tab, click the Select button for the desired contact

  2. Click the Detail tab

  3. Uncheck the Active box

  4. Save 

     


Inactivating a Language for a Contact

  1. From the Contact tab, click the Select button for the desired contact

  2. Click the Codes tab

  3. Click the Inactivate button next to the language and type that will be inactivated. A confirmation message will appear. Confirm and click OK.

  4. Add the end date to the menu that appears.

  5. Click Save.

  6. The number in parentheses on the Codes tab will decrease by one number.

 

Inactivating a contact is not the same as deleting a relationship. If the contact should no longer be associated with a student please use the process for inactivating a contact.
