ESI: Adding a New Student to ESI

New students are added to ESI using the following steps (permissions based).  Before adding the new student, complete a student search in ESI to verify student does not already exist. An SSD# should be obtained for the student before he/she can be added to ESI.  

Students Tab

 Add Student

  1. Click File 

  2. Click Student >Add Student 

  3. Enter the following information-SSD#, First Name, Middle Name, Last Name, Grade, MOSIS ID, Suffix, DOB, Gender and Ethnicity. Preferred Name should be used to add an alias. Once updated in ESI, the Preferred Name will appear in Phoenix on the Student Profile Banner at the top of the screen, on the Demographics panel in Student Details, on the Quick View, and on the Student List Panel.

  4. Save

When saving, required fields show red if missing information.


Add School Information

  1. Begin typing the school code or name and schools matching the criteria will appear in the drop down, then select the Attending school 

  2. Enter the Enrolled Date

  3. Enter the Type from the drop-down

  4. If all of the schools are the same, click the Quick Add button and schools will auto-fill for Home, Managing and Folder with the Attending school information

    1. If the schools are not the same, enter the Home, Managing and Folder school using directions from steps 1-3

  5. Save All

Pending-Enrollment (EC Coalition)

Student is pending Kindergarten enrollment in St. Louis County partner district

Pending-Referred

Student is currently referred for an evaluation but IJR has not been created in Phoenix

Pending-Transfer

Students transferring into the district but Transfer Event has not been created in Phoenix

3. Enter Status Date 

4. Add a Note if needed

5. Save


Complete Process

  1. Select Complete on the Complete Process panel

     

The student's screen will appear with additional tabs such as Contacts, Transfer History, Student Codes,  Status and Caselog. The status is "Pending-Enrollment" in Phoenix.



Contacts

Adding an Address

  1. Select Contacts 

  2. Click the Select button beside the student’s name

  3. Select the Address tab to enter student address information 

    1. Type

    2. Address

    3. City

    4. State

    5. Zip 

    6. Start Date

    7. End Date will be entered when the address is no longer valid

    8. Check the Primary box if the address should be primary

  4. Save

  5. Repeat steps to enter additional address information

Active addresses will display by default, to view inactive addresses click the Active button to switch to Inactive information.


Adding a Phone Number

  1. Select the Phone tab and enter the following information

    1. Type

    2. Phone

    3. Extension, if needed

    4. Start Date

    5. End Date can be entered when the phone number is no longer valid 

    6. Enter a Note if needed

    7. Checkmark "Primary

  2. Save


Adding a Parent

First verify if Parent/Contact Already Exists

  1. Expand Search Existing Contacts panel to search existing contacts to avoid duplicating contacts in the system by entering the first or last name in the Search field, names will start to appear as criteria are met

  2. If Contact is found, select the name, then choose a Relationship, then select Add Person

  3. From the Student Contacts tab, click the Select button to the left of the desired contact

  4. Enter or update any additional information on the Detail tab such as email address and select any appropriate checkboxes

  5. Save

  6. Repeat this process for the Relationship, Address, Phone or Contact Properties tabs

If contact person does not exist, expand the Add New Person panel:

  1. Enter First Name 

  2. Enter Last Name

  3. Select a Relationship 

  4. Click Add Person

  5. The added contact displays on the Active tab of the Student Contacts panel


Adding Contact Details

  1. Click Select to the left of the desired contact to open the details on the Student's Contacts tab

  2. Enter the additional contact details on the Details tab

  3. Select any appropriate checkboxes (Active, Lives With, Legal Guardian, etc....)

  4. Save 


Adding a Relationship

  1. Select Relationship

  2. Choose a Relationship 

  3. Save


Syncing Address/Phone Information

Contact address and phone number can be synchronized with the student's address and phone number

  1. Click Select for the desired contact from the Active tab of the Student Contacts panel

  2. Click Sync  button for the home address and phone of the desired contact

Adding Contact Properties 

This is used if the contact's status changes such as Deceased, Incarcerated, Rights Terminated or Whereabouts Unknown

  1. Select Contact Properties 

  2. Choose a Type

  3. Enter a Start Date

  4. Save

 


Transfer History

  1. Select the Type 

  2. Select School To, can begin to type school code or school name and schools matching criteria will appear in the drop down

  3. Choose the Date Transferred

  4. Click "Save All" 

  5. Click "Ok" to the confirmation window that appears

Adding Student Codes

  1. Select Student Codes 

  2. Choose a Type  

  3. Choose the appropriate Code which displays drop-down choices determined by the selected Type

  4. Enter Value, if necessary

  5. Enter the Start Date

  6. Save


Adding a School (Transfer History)

  1. Select the Type 

  2. Select School To, can begin to type school code or school name and schools matching criteria will appear in the drop down

  3. Choose the Date Transferred

  4. Click "Save All" 

  5. Click "Ok" to the confirmation window that appears


Student Codes

  1. Select Student Codes 

  2. Choose a Type  

  3. Choose the appropriate Code which displays drop-down choices determined by the selected Type

  4. Enter Value, if necessary

  5. Enter the Start Date

  6. Save
