Select Users to Display on your Phone (Presence)
This article contains steps about selecting users to display on your phone for Presence and Call Monitoring.
Log in to your RingCentral online account.
Click Settings.
Click Devices & Numbers > Phones > Presence.
You will see two options at the top Appearance and Permissions
Appearance
Under Appearance, select the users you would like to display on your desk phone and softphone by clicking on Assign Extension, search for the user, select their name, then click Assign. You may click Preview on my phones to test how the users will appear on your phone.
*To remove a name, click Remove under Actions
*To change a name, click Assign Extension under actions and choose a different user.
You may also enable the following options:
Ring my phone when any user I am monitoring rings - This is to notify you that the phone of the user you are monitoring is ringing.
Enable me to pick up a monitored line on hold - If you intend to answer calls on behalf of the user you are monitoring, you need the other users to give you permission to answer their calls via their Presence permission settings.
NOTE: After clicking Save, a pop-up will appear notifying you that your phone will restart to reflect the changes. Click Yes. These settings will apply on your RingCentral desk phone and all desk phones associated with your extension.
Permissions
Under Permissions, you have the following options:
Allow other users to see my Presence status
When on a call, share my details with
Select users permitted to answer my calls
Under Select users permitted to answer my calls there are two options: Show All and Show Selected.
To see who has permission to answer your calls, choose Show Selected.
To enable someone to answer your calls, choose Show All and search for the user by name or extension (hit Enter to search). Check the box next to the use’s name. If you need to add more users, continue searching and selecting until you are done. When everyone has been added, click Save at the bottom of the page.
When your phone rings it will show up in the Presence area of their phone (speed dial). They will be able to click the line to answer your phone.
To remove someone’s permissions, go to Show Selected, uncheck the box next to their name and click Save.
