Sending a Fax from scanner using RingCentral (Visual guide)

Use this article to learn how to use a multifunction printer to send a fax using the scan to email function.

Step-by-step guide

These steps below will only work for printers that have been setup to perform this function.

  1. Place the document face-down on the scanner glass or face-up if you are using an Automatic Document Feeder (ADF)

  2. Tap the Home button.

  3. Tap the Scan button.

  4. Tap the E-mail button.

  5. Tap the Touch dial pad. The scanner will prompt you to enter the recipient's email address.  Enter the fax number of your intended recipient followed by "@rcfax.com". For example: 3145552467@rcfax.com and thep tap the OK button.

  6. Tap the Send button in your scanner to begin scanning the document and sending it out to RingCentral.

  7. RingCentral will then send this email as a fax to your recipient's fax number and will either come out as a digital document (PDF) or in printed form on a traditional fax machine.

  8. On the top left corner of the display you will see the message, Email transmission sent.

Sending a fax using scan to email on the printer may take up to 20 minutes for the recipient of the fax to receive the transmission. If you know the recipient's email address, it is much more efficient to follow the same process above, changing the email address in step 5 to the email address of the recipient, i.,e., doctorsoffice@hospital.com, instead of the faxnumber@rcfax.com.

In some cases the recipient will only accept incoming faxes, so just let them know it may take some time for them to receive it.
