This article assists users when completing the Services screen.
All services are entered on the Services Screen. This includes Special Education Services, Related Services, Supplementary Aids and Services, and Supports for School Personnel.
The services for the regular school year print on the Services Summary form.
ESY Services are entered on the Services Screen and print on Form B.
Information about adding services can also be found on the Services Quick Start Card.
The Least Restrictive Environment (LRE) is calculated from the service details entered on the Services Screen. The LRE is viewed and accepted on the Federal 4 Summary Screen.
When a student is transitioning to a new school during the IEP (for example from elementary to middle or middle to high school), all Special Education and Related Services must be entered separately for each school, even if the minutes will be identical, with appropriate start and end dates and servicing schools. This will ensure the placement (LRE) is calculated correctly for each school. For more information go to Entering Services when Student is Transitioning to a New School.
Adding a Service to the Plan
The first step to add a service to the plan is to search for the service.
When the Services Screen opens, the Servicing School at the top of the screen autofills with the student's current school. It can be edited if necessary. It should be the school where the first set of services will be provided.
If the Servicing School field at the top of the screen is blank when the screen is opened, select the school where the first set of services will be provided.
Select the Service Group Type.
School Year Service is the default choice
If entering an ESY service, select the ESY button
SSD does not use the Post-Secondary option
Select the Service Group from the drop down menu.
Special Education, Related Services, Supplementary Aids and Services, Supports for School Personnel
Every IEP/SP must have at least one Special Education Service
Select the Service Type from the drop down menu.
The list will vary depending on the Service Group selected
Click the Search icon.
The service appears in the Search Result section.
Select the service.
Add to Plan.
The Service Details section opens.
Complete Details before Saving and Adding Additional Services
The details for each service must be completed before you can save it or add additional services.
Enter Service Details
The Begin Date and End Date autofill from the Plan Dates page. They can be edited if the service will start or end at a different time.
There must be at least one service that begins on the Initiation Date of the IEP and at least one that ends on the IEP End Date. They can be different services.
Assign the Provider, if known. If this service begins on the Initiation Date of the IEP, a provider should be assigned.
Select the Smile icon to assign the service to yourself.
Select the Search icon to open the Staff Search window to select a provider from your Staff Favorites or search for someone else.
Enter the Duration (minutes).
Select the Frequency. The default option is Weekly. Monthly can be selected if needed.
Select the Setting.
Special Education, Regular Education, Home ECSE
The Servicing School is autofilled with the Servicing School appearing at the top of the screen. This is the school where this service will be provided. If necessary, select a different school.
For students transitioning to a new school during this IEP, there will be one set of services for the current school and a separate set for the next school. The dates and schools must be correct for each service for data to be correct.
Save
To enter a new service, click the arrow on Service Search.
Each time a service is saved, the Accept LRE button appears. It is not necessary to select the button each time. The LRE should only be "accepted" when all services have been finalized. Clicking Accept LRE. opens the Federal 4 Summary screen. This is where the LRE information is reviewed and accepted and a manual override completed if necessary.
Accept LRE and Manual Override
When each service is saved the "Accept LRE" button appears on the screen. It is not necessary to accept the LRE after every service. The LRE should be accepted only when ALL services have been entered and finalized. If the LRE is accepted then changes are made to the services, it will have to be redone. This is especially important if a Manual Override is needed.
Reordering Services
Services print on Services Summary in the order they appear in each group on the Plan Services list. They can be reordered by using the drag and drop feature. Select the cross icon, drag the service up or down, then drop it. The list will be reordered. You can only move services within their group (Special Education, Related Services, etc.).
Deleting Services
Services can be deleted by selecting the delete icon. The Confirmation window will open. Select Yes. The service is deleted. It may be necessary to "Accept the LRE" if a service is deleted.
Entering Services when Student is Transitioning to a New School
Reminder: For students transitioning to a new school (for example, from elementary to middle school or middle school to high school), separate sets of Special Education and Related Services must be entered for each school, even if the minutes will be identical. Be sure to enter the dates accurately and choose the appropriate Servicing School for each. This will ensure the LRE (placement) is calculated correctly for each school.
There should be no gap between the end of the first set of services and the start of the second. There should also be no overlap (all services for the first school end the day before the services for the next school start)
Enter services for current school/school year
Begin Date should be the Initiation Date of the IEP (or a later date if a service will begin after the start of the IEP but before the student starts at the next school)
Revise the End Date to the end of this school year or just before the beginning of the next year. This does not have to be the exact last day of school. It can be a date in June or July to allow for changes to the school calendar.
Assign the Provider
Enter Duration
Select Setting
Choose the student's current school as Servicing School
Save
Continue to add services for the current school year
Enter services for the next school/school year
Do not change the Servicing School at the top of the screen. It will be updated on the individual services.
The Start Date should be the day following the End Date of the services for the current school (do not leave a gap)
The End Date should be the Service/Goal End Date from the Plan Date Screen or an earlier date if the service will end prior to the end of the IEP
Assign the Provider if known. The Provider can be left unassigned.
Enter Duration
Select Setting
Choose the student's new school as Servicing School
Save
Continue to add services for the new school
When all services are finalized, select Accept LRE. The Federal 4 Summary screen opens.
Revising Services in an IEP Amendment
Services should not be deleted or changed in an IEP Amendment. If a service will no longer be provided as written, change the End Date to the last day the service was/will be provided as written. Then, if needed, add a new service with the appropriate Begin Date. This will ensure all data for the IEP is accurate.
