This article assists users with updating Case Manager and service/goal providers for multiple students.
Case Managers, Service Providers, Goal Responsible Staff and Event Primary Staff can be changed for an individual student or for multiple students at one time. This page covers changing providers for multiple students assigned to the same provider. Instructions for changing providers for an individual student can be found here.
Staff Management
Staff Management is used to view and change Case Manager, Event Primary Staff, Service Providers, and Goal Responsible Staff assignments for a selected provider. It can also be used to view and assign ‘unassigned’ staff.
Staff Management is accessed by selecting the Staff Management link from the Header Navigation menu.
The Staff Management screen opens.
Changing Case Managers or Event Primary Staff
Use the Staff Editor to select the staff member whose assignments you wish to view.
Select the Smile icon to view your own assignments.
To search for someone else, select the Search icon. The Staff Search window opens allowing you to select from your favorites or search for and select the desired provider
When the desired provider appears in the Staff Name field, select Search.
The screen opens with the Case Manager list displayed. The other options are Events, Services and Goals.
To change a single Case Manager, select the current name to use the inline feature.
The Staff Editor opens.
Select the Smile icon to assign yourself or the Search icon to open the Staff Search window allowing you to select from your favorites or search for and select the desired provider.
The same staff member can be assigned as the Case Manager for multiple students.
Select the check box in front of each student whose Case Manager you wish to change or select the top box to select all on the list.
In the Assign/Unassign section use the Staff Editor to select the new Case Manager.
Use the Smile icon to assign yourself or the Search icon to open the Staff Search window allowing you to select from your favorites or search for and select the desired provider.
To unassign, verify ‘unassigned’ appears in the staff name field. If it doesn't, select the 'X'.
When the correct name or ‘unassigned’ appears in the staff name field, Save.
Assigning, reassigning, and unassigning Event Primary Staff follows the same steps as changing Case Managers.
Changing Service Providers and Goal Responsible Staff
To change Service Providers or Goal Responsible Staff select the appropriate link on the Staff Management screen. This example shows how to change Service Providers.
Click the Services link.
The Service Type filter can be used to view only one specific service type. All others will be hidden. To see all services again, select ‘All Service Types’ from the list.
The Active/All filter can be used to reduce the number of displayed services. Active services display when the screen opens. The All filter displays all services in the current IEP.
The Servicing School is the location where the service is being provided. It is important to update it if the student has moved to a new school and the service is active. To update the school, select the current name, then select the new school from the list that appears.
IMPORTANT: Changing the Servicing School assigned to a service does not update the student's LRE calculation or category. This can only be done in an IEP event (Annual IEP, IEP Amendment).
The Provider name can be changed inline.

Select the Smile icon to assign to yourself, the Search icon to search for and select the new provider on the Staff Search window
Multiple services can be assigned/reassigned to the same provider or unassigned using the Assign/Unassign feature.
Select the check box in front of each service you wish to change or select the top box to select all on the list.
In the Assign/Unassign section use the Staff Editor to select the provider.
Use the Smile icon to assign yourself or the Search icon to search for and select the new provider on the Staff Search window.
To unassign, verify ‘unassigned’ appears in the staff name field. If it doesn't, select the 'X'.
When the correct name or "unassigned" appears in the staff name field, Save.
Assigning, reassigning, and unassigning Goal Responsible staff follows the same steps as changing a Service Provider.
