This article is to assist staff with questions related to students appearing on their Caseload in Phoenix.
Which Students Appear on my Caseload in Phoenix?
Your Caseload in Phoenix includes all students you are assigned to as Case Manager, Event Primary Staff, Service Provider, for an active service or Goal Responsible Staff for an active goal. This can include students you had in the past but are no longer responsible for.
How do I Update My Caseload?
If a student should no longer be on your Caseload you can view the items assigned to you on Student Staff Management for the student, or on Staff Management for all students assigned to you. You can then update the assignments or unassign an item. When you are no longer assigned as Case Manager, Event Primary Staff, a Service provider, or Goal Responsible Staff the student will no longer be included on your Caseload.
Updating the Caseload Using Student Staff Management (for a single student)
NOTE: These steps can be followed to reassign or unassign the Case Manager, Primary Staff for Events, Service Providers, and Goal Responsible Staff. Please check with your administrator to see who should be assigned.
Search for the student.
On the Student List Panel, hover over the student’s name and select the hamburger icon.
On the Student Management Menu select Student Staff Management.
On Student Staff Management check each section to see what items are assigned to you (Case Manager, Events, Services, Goals). In order for the student to no longer be included on your Caseload those items must be reassigned. Please check with your administrator to see who should be assigned.
Frequently the issue is the Reevaluation Decision event that is assigned to you. This happens because the system automatically assign future events to you when you lock an event. In this case, you locked the previous Reevaluation event so the next Reevaluation Decision is assigned to you. It may also be because you are assigned to a service or goal that has expired. Expired services and goals can be seen by selecting Services or Goals, then selecting All.
To reassign a single item, select the name of the current provider. The Staff Editor opens. Select the Search icon to open the Staff Search window. Search for, then select the person to assign the item to, and Save.
To unassign an item, select the box in front of the item. In the Assign/Unassign section check to be sure “unassigned” appears in the Staff Name field. If it does not, click the X. When “unassigned” appears, Save.
Updating Caseload Using Staff Management (Multiple Students)
NOTE: These steps can be followed to reassign the Case Manager, Primary Staff for Events, Service Providers, and Goal Responsible Staff assigned to one staff member to another, or to unassign an item. Please check with your administrator to see who should be assigned.
Select the Staff Management icon on the Navigation Header Menu.
On the Staff Editor, click the smile icon to select yourself or the search icon to search for another user.
Click Search.
Students assigned to you or the selected user appear. The Case Manager list displays by default.
Select each link to view list of students assigned to you or the selected user.
Locate students you wish to remove from your Caseload
Reassign or unassign each item:
To reassign a single item, select the name of the current provider. The Staff Editor opens. Select the Search icon to open the Staff Search window. Search for, then select the person to assign the item to, then Save.
To reassign multiple items, select the box in front of the item. In the Assign/Unassign section (at the bottom) use the Staff Editor to select the new provider, and Save.
To unassign an item, select the box in front of the item. In the Assign/Unassign section (at the bottom) check to be sure “unassigned” appears in the Staff Name field. If it does not, click the X. When “unassigned” appears, Save.
