Providers - Individual Student - Updating Case Manager and Providers

This article assists users with updating a student's Case Manager and service/goal providers. 

Case Managers, Service Providers, Goal Responsible Staff and Event Primary Staff can be changed for an individual student or for multiple students at one time. This page covers changing providers for an individual student. Instructions for changing providers for multiple students can be found here.

Changing Case Manager

The Case Manager can be updated in multiple locations in Phoenix including Student Profile>Summary, Student Profile>Program Summary>Special Ed, Student Staff Management and Staff Management.

In both locations the current Case Manager name is a link. This means it can be changed using the inline method.

  1. Click the name of the current Case Manager.

  2. The Staff Editor displays

  3. To assign yourself, select the Smile icon

  4. To assign someone else, select the Search icon. The Staff Search window opens allowing you to search for and select the new Case Manager.


Using Student Staff Management to Change Case Manager, Event Primary Staff, Service Providers, and Goal Responsible Staff

Case Manager, Event Primary Staff, Service Providers and Goal Responsible Staff can all be changed on Student Staff Management.

To access this screen, hover over the student's name on the Student List Panel.

  1. Select the Hamburger icon.

  2. On the Student Management Menu select Student Staff Management.

  3. The Student Staff Management screen opens. In this example, Service Providers will be changed.

  4. Select the Services link.

  5. The Active/All and Service Type filters can be used to reduce the number of services that display on the list. Active services are displayed when the screen is opened. The All filter displays all of the services in the current IEP. The Service Type filter can be used to view only one specific service type. All others will be hidden. To see all services again, select "All Service Types" from the list.

  6. The Servicing School is the location where each service is being provided. It is important to update it if the student has moved to a new school and the service is active. To update, select the current name then select the new school from the list of schools.

  7. The Provider name can be changed inline.

    1. Select the name

    2. The Staff Editor opens

    3. Select the Smile icon to assign to yourself or the Search icon to search for and select the new provider on the Staff Search window.

  8. Multiple services can be assigned/reassigned to the same provider or unassigned using the Assign/Unassign feature.

    1. Select the check box in front of each service you wish to change or select the top box to select all on the list.

  9. In the Assign/Unassign section

    1. Use the Staff Editor to assign yourself or search for and select the new provider on the Staff Search window.

    2. To unassign, verify "unassigned" appears in the staff name field. If it doesn't, select the "X".

  10. When the correct name or "unassigned" appears, Save.
