Beginning of Year Reminders

Certified Staff:

Initial and Transfer IEPs

Remember that Initial and Transfer IEPs should be completed within 30 days. Initial IEPs carry the additional step of requiring a signed Initial Parent Consent. Until this is signed and returned and the information is entered in Phoenix, Initial IEPs should not be locked. If they are locked, they will show as PENDING and no edits can be made until consent is received in writing.

Please check your meetings due and/or Open Meetings report for a list of events by due date.

Deleting Events

If Discipline Documents, Transportation forms, or other stand-alone events appear in Phoenix with scheduled dates from the 2023-2024 school year, contact Tech Support at 314.989.8686.

At the beginning of the year, students should have a scheduled IEP and a scheduled Reeval Decision or Reeval. Any scheduled amendments or corrections from the previous school year should be deleted.

Assigning Providers

Case Managers should be assigned to events, and 2024-2025 staff should be assigned to Goals/Services.

Special Education Coordinators and Directors:

Your district may have students assigned to Administrators rather than Case Managers. To locate and assign these students, run the report Non-Provider > Open Meetings by Attending District for your district using 10/01/2024 as the due date. If a student with no supervisor is not in your schools, please contact Student Data.

Transportation

If a student’s home or school changed over the summer and they receive(d) transportation, their transportation needs to be updated in Phoenix.

If they have previously had Transportation, a Transportation Change Form can be completed in Phoenix. If they have not previously had Transportation, an Amendment needs to be done, and transportation should be updated in the Student Summary page as well as the Transportation Decision and Transportation Form once you mark yes to transportation on the Service Summary.

Evaluation Chairs:

Before finalizing assessment events in Phoenix, please verify there are no "incorrect dates" banners present in ESI Caselog. If any of these banners are found, refrain from locking the event in Phoenix. Should you encounter any issues, do not hesitate to contact Tech Support at 314.989.8686.

Announcing: WFM Upgrade

We are excited to announce the upgrade of Infor Workforce Management (WFM). This modern, cloud-based system is designed to ensure accuracy and ease in tracking attendance.

This upgrade will go live on October 1, 2024.

Key Benefits:

  • Fully Supported: An upgrade of our current system was necessary for the district to remain on a supported and secure time and attendance system.

  • Ease of Use: A user-friendly app, Infor GO, allows staff to manage time with just a few clicks.

  • Integration: The system will connect with the new suite of products from the Infor Cloudsuite that SSD will be implementing over the next several years.

  • User Interface: Since this is an upgrade, the user interface is the same as what you are currently using with a few additional features.

  • Additional Features:

    • Improvements have been made to field labels to support easier navigation.

    • Staff can clock in even with no access to cell service. The app will save your clock and register it when you connect to the internet.

    • If request a week off, you can cancel one day instead of needing to cancel the week and then making a new request.

    • Supervisors will be able to see balance information when approving time.

Transitioning to a new system can often raise questions and uncertainties. We are developing a dedicated space to address all your queries. This space, housed within the Technology Services Knowledge Center, will serve as a comprehensive resource hub. Here, you will discover a wealth of information including frequently asked questions, detailed support documentation, and valuable training materials. Furthermore, we will provide a direct link for you to submit feedback or pose any inquiries you may have.

Greetings Everyone,

The Technology Services Knowledge Center is set to transform into the Knowledge Center on Thursday, August. 01, 2024. This update will bring about a fresh appearance, enhanced structure, and improved functionality.

Key Enhancements:

  • Introduction of a new home page design

  • Addition of new application pages to provide insights on the district's most utilized apps

  • Inclusion of new project pages featuring go-live dates, FAQs, training details, and documentation resources

  • Restructuring of the page tree

Please note that Confluence will undergo maintenance starting at the close of business, Wednesday, Jul. 31, 2024. The system upgrade will be implemented and will be accessible at the commencement of business on Thursday, August. 01, 2024.

ESI was temporarily unavailable as of 3:00 PM on Thursday, July 18, 2024, for scheduled maintenance. This update to the ESI application includes the following additions:

  • Added new functionality for a Service Delivery Model, Service Delivery Model Group, and a new Caseload section. This section encompasses ratings and components that are relevant to providers within the pilot groups.

  • A new screen has been developed to enable administrators of the pilot groups to configure provider specialty components. They can set adjustment factors and valence for components associated with each specialty.

  • A new screen has been developed to enable administrators of the pilot groups to set thresholds for each service delivery model group based on school category. These thresholds establish the parameters for underutilized, managed, and overloaded caseload ratings assigned to the providers within the pilot groups.
