Services Screen

This article assists users when completing the Services screen.

All services are entered on the Services Screen. This includes Special Education Services, Related Services, Supplementary Aids and Services, and Supports for School Personnel.

The services for the regular school year are printed on the Services Summary form.

Extended School Year (ESY) Services are entered on the Services Screen and printed on Form B.

The Least Restrictive Environment (LRE) is calculated from the service details entered on the Services Screen. The LRE is viewed and accepted on the Federal 4 Summary Screen.

When a student is transitioning to a new school during the IEP (for example, from elementary to middle or middle to high school), all Special Education and Related Services must be entered separately for each school, even if the minutes will be identical, with appropriate start and end dates and servicing schools. This will ensure each school's placement (LRE) is correctly calculated. For more information, go to Entering Services when Student is Transitioning to a New School

The first step in adding a service to the plan is to search for the service or services.

When the Services Screen opens, the Servicing School at the top of the screen auto-fills with the student's current school. It can be edited if necessary. It should be the school where the first set of services will be provided.

If the Servicing School field at the top of the screen is blank or incorrect when the screen is opened, select the school where the first set of services will be provided.

Adding Multiple Services to the Plan

  1. Select the Service Group Type.

    1. School Year Service is the default choice.

    2. If entering an ESY service, select the ESY button. More information about entering services for ESY can be found here.

    3. SSD does not use the Post-Secondary option.

  2. Select the Service Group from the drop-down menu.

    1. Special Education, Related Services, Supplementary Aids and Services, Supports for School Personnel

    2. Every IEP/SP must have at least one Special Education Service.

  3. Click the Search icon.

  4. The list of services for the selected Service Group is displayed in the Search Results.

    1. The list will vary depending on the Service Group selected.

  5. Select the service or services to be added.

  6. Add to Plan.

  7. The selected services are added to the Plan Services table.

  8. Add additional services or click a service to complete the service details.

    1. To add additional services, click the arrow on Service Search.

    2. To complete Service Details, click in the row for the service.

Multiple services can be added or saved before completing the Service Details. Save is required when details have been entered.

Adding One Service to the Plan

  1. Select the Service Group Type.

    1. School Year Service is the default choice.

    2. If entering an ESY service, select the ESY button. More information about entering services for ESY can be found here.

    3. SSD does not use the Post-Secondary option.

  2. Select the Service Group from the drop-down menu.

    1. Special Education, Related Services, Supplementary Aids and Services, Supports for School Personnel

    2. Every IEP/SP must have at least one Special Education Service.

  3. Select the Service Type from the drop-down menu.

    1. The list will vary depending on the Service Group selected.

  4. Click the Search icon.

  5. The service appears in the Search Result section.

  6. Select the service.

  7. Add to Plan.

  8. The selected service is added to the Plan Services table.

  9. Add additional services or click a service to complete the service details.

    1. To add additional services, click the arrow on Service Search.

    2. To complete Service Details, click on the row for the service.


Completing Service Details

  1. If the Service Details panel is not open, select the row for the service.

  2. The Begin Date and End Date autofill from the Plan Dates page. They can be edited if the service will start or end at a different time.

    1. There must be at least one service that begins on the Initiation Date of the IEP and at least one that ends on the IEP End Date. They can be different services.

  3. Assign the Provider, if known. If this service begins on the Initiation Date of the IEP, a provider should be assigned.

    1. Select the Smile icon to assign the service to yourself.

    2. Select the Search icon to open the Staff Search window to select a provider from your Staff Favorites or search for someone else.

  4. Enter the Duration (minutes).

  5. Edit the Frequency if necessary. The default option is Weekly. Monthly can be selected if needed.

  6. Select the Setting.

    1. Special Education, Regular Education, Home ECSE

  7. The Servicing School is auto-filled, with the Servicing School appearing at the top of the screen. This is the school where this service will be provided. If necessary, select a different school.

    1. For students transitioning to a new school during this IEP, there will be one set of services for the current school and a separate set for the next school. The dates and schools must be correct for each service for data to be correct.

  8. Save.

    1. Services can be saved anytime, even if a required field is blank. All required fields must be completed before locking the event. Errors for blank fields display when a Validation Check is completed.

  9. Each time a service is saved, the Accept LRE button appears. It is not necessary to select the button each time.

    1. The LRE should only be ‘accepted’ when all services have been finalized. When Accept LRE. is clicked, the Federal 4 Summary screen opens. This is where the LRE information is reviewed and accepted, and a manual override completed if necessary.


Entering Services when Student is Transitioning to a New School

Reminder: For students transitioning to a new school (for example, from elementary to middle school or middle school to high school), separate sets of Special Education and Related Services must be entered for each school, even if the minutes will be identical. Be sure to enter the dates accurately and choose the appropriate Servicing School for each. This will ensure the LRE (placement) is calculated correctly for each school and district data is correct.

There should be no gap between the end of the first set of services and the start of the second. There should also be no overlap (all services for the first school end the day before the services for the next school start)

  1. Enter services for the current school/school year. For each service:

    1. Begin Date should be the Initiation Date of the IEP (or a later date if a service will begin after the start of the IEP but before the student starts at the next school)

    2. Revise the End Date to the end of this school year or just before the beginning of the next year. This does not have to be the exact last day of school. It can be a date in June or July to allow for changes to the school calendar.

    3. Assign the Provider

    4. Enter Duration

    5. Select Setting

    6. Choose the student's current school as Servicing School

    7. Save

  2. Enter services for the next school/school year. For each service:

    1. Do not change the Servicing School at the top of the screen. It will be updated on the individual services.

    2. The Start Date should be the day following the End Date of the services for the current school (do not leave a gap)

    3. The End Date should be the Service/Goal End Date from the Plan Date Screen or an earlier date if the service will end before the end of the IEP.

    4. Assign the Provider if known. The Provider can be left unassigned if it is not known.

    5. Enter Duration.

    6. Select Setting.

    7. Choose the student's new school as Servicing School.

    8. Save.

  3. When all services are finalized, select Accept LRE. The Federal 4 Summary screen opens.


Revising Services in an IEP Amendment 

Amendments and Corrections should maintain a history of the IEP cycle. Services should not be deleted or changed in an IEP Amendment. If a service will no longer be provided as written, change the End Date to the last day the service was/will be provided as written. Then, add a new service with the appropriate Begin Date if needed. This will ensure all data for the IEP is accurate.

Ensure that a Placement Page reflects the new Service minutes if minutes change in an Amendment or Correction. The percentages for Service minutes can be located on the Federal 4 > Least Restrictive Environment.
